Part 2: Using MOXIS to digitalise law firms and legal departments

Is legal tech really standard practice in law firms? From reservations to success stories - Part 2.
Is legal tech really standard practice in law firms? We got to the bottom of this question and found that many law firms and legal departments are already using various software solutions to optimise internal processes – from electronic files to file management systems and legal databases. Nevertheless, there are still many reservations and scepticism about legal tech and the digital transformation. We have already addressed some of these concerns about legal tech and the digitalisation of law firms in Part 1 and rebutted them with counterarguments. Here we would like to take a closer look at four more such preconceptions.

"Many clients consider printed documents to be more trustworthy"

This is an argument that we hear very often and one for which we naturally have the right counterarguments ready. In fact, in many cases, digital documents offer even greater security than their handwritten counterparts. This is due to the following reasons, among others: Digital documents allow for more traceability and documentation, as they can often be tracked more accurately than the printed versions. Every step in the editing and signing process is recorded electronically, including the time and place of signing and the identity of the signatories. This reduces the risk of document loss or tampering. Digital documents can be secured with encryption methods to ensure integrity and confidentiality. Printed documents, on the other hand, are vulnerable to unauthorised access and tampering. While handwritten signatures can be easily forged, digital signatures are rather difficult to crack due to cryptographic algorithms. Digital signature solutions such as MOXIS use digital certificates that may only be issued by certified trust centres. This strengthens trust in the authenticity of the digital signature. By using digital documents, you can significantly reduce paper consumption. This not only saves you costs, but also improves your carbon footprint. Digital documents also enable faster and more efficient workflows, which ultimately strengthens confidence in the effectiveness of digital processes.

"Legal tech is not viable for small law firms who lack resources"

Yes, the use of legal tech poses some challenges for smaller law firms: lawyers are often forced to acquire technical know-how as well as data protection expertise just to select the right solution. A certain amount of organisational effort is also inevitable, especially at the beginning. Before you think about integrating legal tech solutions that directly replace your legal services, it is advisable, especially for small law firms, to start with tools that support you in your traditional legal work. This includes signature processes, as these make up a significant part of a law firm’s daily work. With MOXIS, they can be digitised in under 30 minutes. By digitising signature processes and obtaining legally valid signatures electronically, you can quickly achieve positive results: Time savings, cost reduction, location independence, improved environmental friendliness, reliable tracking, more efficient archiving and much more.

"Data protection as a huge challenge"

Yes, legal tech solutions require a certain familiarisation period. Efficiency was our top priority when developing MOXIS. The intuitive design and high level of user-friendliness ensure a quick familiarisation period. A short training session is all it takes to customise MOXIS to the individual needs of your law firm and start working efficiently with it. In addition, collecting signatures from external parties does not require any special prior knowledge on behalf of these parties. In order to protect data from unauthorised access or loss, increasing digitalisation in law firms naturally requires appropriate data protection and security measures. Lawyers mainly deal with sensitive personal data. They have always had to be particularly careful when handling such information, and the implementation of the GDPR has further increased these requirements. It is therefore crucial to carefully scrutinise any software solutions you are considering for your law firm with regard to your data protection requirements. Law firms without their own data protection officer quickly reach their limits here. In cases like this, it is all the more important to have a reliable partner at your side. Our MOXIS e-signature solution is synonymous with security and data protection compliance. The processing of personal data fulfils the requirements of the GDPR in several respects. Firstly, our electronic signature folder complies with the principles of privacy by design and privacy by default as defined by the GDPR, unlike any comparable US software solutions. In addition, the amount of data processed in MOXIS is kept as low as possible in accordance with the GDPR. Our conclusion: Even if digitalisation seems like a huge, insurmountable challenge for your law firm, you should start as soon as possible. And do so step by step. The use of digital signatures is essential for a well-functioning law firm or legal department. That is why we at XiTrust would like to start right here and support law firms on their way to digitalisation. Would you like to find out more about the use of MOXIS in the legal sector?
